How to start an Alumni Chapter
Alumni chapters are established to help promote the interests and welfare of UFH and its alumni. Well informed, active alumni are vital to the growth and excellence of a university and its alumni. Alumni chapters can benefit alumni and the University in diverse ways; Career Assistance, Social Networks and bonding, Community/Philanthropic Service, Student Recruiting, Support for Higher Education, and Support for the University e.g because of the satisfaction it produces, involvement in alumni chapter networks often result in financial commitment to the University. Several alumni chapter networks sponsor scholarships for the University.
 

 Alumni chapter networks provide alumni with an opportunity to continue a connection to their alma mater UFH through means of an organized group. Chapters plan activities for alumni in their regions, and assist in keeping communication links open by updating addresses and information on graduates.

 

THE COMPOSITION OF THE CHAPTER EXECUTIVE COMMITTEE AND THEIR RESPONSIBILITIES:

The positions and responsibilities are guidelines but not exhaustive of all so some more responsibilities can be expanded and shared as seen fit or as outlined in the constitution of each unique chapter.

President

  1. Reads and understands the Higher Education Statute, the Alumni Association Constitution and leads the drawing up of the Chapter Constitution, its amendment and its by laws
  2. Serves as the primary liaison with UFH Alumni Office
  3. Calls and Chairs chapter meetings
  4. Ensures meetings are recorded and sends minutes to UFH
  5. Is the official spokesperson for the chapter and its membership
  6. Oversees chapter activities
  7. Approves chapter communications to members
  8. Acts as an ambassador and advocate for the university
  9. Reports annually to the UFH on the meetings, events, and planned activities of the chapter
  10. Delegates responsibilities to the chapter committee members 
  11. Other duties as determined by the chapter as per need arising
  12. Must be a graduate of UFH

 

Vice President

  1. Reads and understands the Higher Education Statute, the Alumni Association Constitution and assists the President in drawing up the Chapter Constitution, its amendment and its by laws
  2. Fulfils any presidential responsibilities in the President's absence
  3. Provides general advice and assistance to the President
  4. Attends chapter meetings
  5. Acts as an advocate and Ambassador  for UFH  
  6. Other duties as determined by the chapter
  7. Must be a graduate of UFH or at least have studied at UFH  

 

Treasurer

  1. Reads and understands the Higher Education Statute of South African Universities, the Alumni Association Constitution and  the Chapter Constitution, and performs his/her duties to enhance the goals of the chapter
  2. Other chapters choose to have a vice treasurer, they play the role of treasurer in their absence and work hand in hand to perform all the duties of a treasurer.
  3. Is responsible for all finances for the chapter, collect and disburse all moneys on behalf of the chapter
  4. Will keep accurate detailed accounts of all financial transactions
  5. Present financial update at each chapter committee meeting
  6. A copy of the financial accounts must be provided to the Fort Hare Foundation via the UFH Alumni Office annually
  7. Attends chapter meetings
  8. Acts as an advocate and ambassador  for the University
  9. Other duties as determined by the chapter  
  10. Must be a graduate of UFH or at least have studied at UFH 

 

Secretary

  1. Other chapters choose to have a vice secretary, they play the role of secretary in their absence and work hand in hand to perform all the duties of a secretary and help to compare notes and advise each other to ensure minutes fully capture the happenings in meetings
  2. Sends out notices of chapter meetings, distributes papers, receives apologies and takes minutes
  3. Keeps a file of all agendas, minutes, event arrangements and any other chapter related paperwork
  4. Attends chapter meetings
  5. Provide a copy of each set of minutes to UFH Alumni Office  
  6. Acts as an ambassador and advocate for the University
  7. Acts as a guest receiver at the AGM and attends to all the welcoming of alumni as they arrive and keeps a register
  8. Other duties as determined by the chapter
  9. Must be a graduate of UFH or at least have studied at UFH 

 

 Events Coordinator

  1. Other chapters e.g Lesotho choose to call them Conveners and have a team of them that is responsible for discussions, entertainment and fundraising , they play the role of events coordinators and work hand in hand with President and the former events coordinators or conveners  to perform  their duties to the optimum.
  2. Plans chapter activities with the President, Vice-President, Secretary, Treasurer and other members of the committee
  3. Surveys chapter members regarding the type of activities and events held by the chapter
  4. Drafts sponsorship proposals with assistance from UFH Alumni Office and ensure that sponsorship is gained where possible for chapter events and activities.
  5. Works in conjunction with the UFH Alumni  Office to promote events and activities to chapter members
  6. Attends chapter meetings
  7. Acts as an ambassador and advocate for the University
  8. Other duties as determined by the chapter
  9. Must have studied or graduated or a friend of UFH as set out in the Alumni constitution 

                                        

Additional Committee Members

  1. Other chapters e.g Gauteng, choose to have at least one additional member from the previous outgoing committee to assist in pending projects and share experiences and guide where need be. However, other choose to have 2 or even more depending on the needs of that specific chapter.
  2. Attend chapter meetings
  3. Follow up directions from the President as required
  4. May be asked to sit on special chapter sub-committees e.g Entertainment Committee, Legal Committee, Publicity Committee etc
  5. Acts as ambassadors and advocates for the university
  6. Other duties as determined by the chapter committee and as per need arising
  7. Must have studied or graduated or a friend of UFH as set out in the Alumni constitution
